Workday configuration for Incydr Flows

Overview

The Incydr Context Flow for Workday automates tasks in Incydr based on information in your Workday HR system. When you update Workday when an employee is about to leave (or has left) the company, the Context Flow automatically adds that employee to the Departing watchlist in Incydr for additional monitoring. This article describes how to configure Workday in preparation for integration with Incydr Flows.

Considerations

Incydr Flows:

  • Are a paid service on some product plans.
  • Are not available in the Code42 federal environment.
  • Require assistance and setup from Code42 Professional Services. Contact your Customer Success Manager (CSM) to engage the Code42 Professional Services team.

Configure Workday

Work with your Workday administrator to complete these configuration tasks in preparation for integration with an Incydr Context Flow:

  1.  In Workday, create a report that is filtered to the employees that are leaving your company. The report must:
    • Include employees' email addresses and departure dates (in YYYY-MM-DD format).
    • Update dynamically to:
      • Add employees with upcoming departure dates (for example, those within the next 45 days).
      • Remove employees after their departure dates are reached.
  2. Provide the following to Code42 Professional Services:
    • The URL (in JSON format) for the Workday report above
    • The email address to which to send any errors that occur during the flow
  3. In Workday, create an API account for Code42.
    Incydr Flows uses this account to log in to your Workday environment, authenticate the Context Flow, and access the Workday report. You or your Workday administrator enter the credentials for this API account into Incydr during your kickoff meeting with Code42 Professional Services.

Workday Context Flow processing

After you configure Workday and integrate it with an Incydr Context Flow, users in Incydr are automatically added to the Departing watchlist based on the Workday report. Processing completes based on this information flow as follows:

  1. You enter information about an employee's departure (such as their email address and departure date) into Workday.
  2. When the report updates, that employee is listed in the Workday report based on the departure date settings in the report.
  3. Incydr Flows accesses the employee list in the Workday report. From that information, Incydr Flows:
    • Determines if there is a departure date associated with the employee. If not, Incydr emails you to request one.
    • Determines whether that employee has a username in Incydr. If not, Incydr emails you to add the employee as a user.
  4. If the employee has a username in Incydr, Incydr Flows then completes these tasks:
    1. Adds them to the Departing watchlist in Incydr, if not already present.
    2. Updates the departure date in their Incydr user profile, if needed.
