Add users from the administration console

Overview

There are three different ways to add users to your Code42 environment via the administration console. This article covers each option and provides step-by-step instructions for adding users by:

  • Entering information manually for each user
  • Uploading a text file with a list of users
  • Sending email invitations

Considerations

  • A user account functions as a container for a single user’s devices. User’s cannot restore files from an other user’s devices unless they have the appropriate administrative privileges.
  • After a user is added, the CrashPlan app or SharePlan app must be installed on each user's device in order to begin back up or sync and share operations.
  • Once a computer is added to a user account, it cannot be moved to a different user account without restarting the backup.
  • CrashPlan for Small Business (previously CrashPlan PRO): Users can have multiple computers associated with their account. However, please note that if you have a CrashPlan for Small Business unlimited data plan, your account is charged for each computer.

Before you begin

  • If you are adding users manually or by uploading a text file, determine the usernames and passwords for all users you want to add. Passwords must be at least 5 characters in length. For enhanced security, Code42 strongly recommends using longer passwords with a mix of uppercase and lowercase letters, numbers, and symbols.

Adding users manually

Entering information manually for each user is an easy way to quickly add a few users.

Adding multiple users
If you need to add many users at once, please see the options below for uploading a text file or sending email invitations, both of which are faster and more efficient ways of adding large groups of users.

Steps

  1. Sign in to the administration console.
  2. Select Users from the menu on the left.
  3. Select Add a New User: Add New User Icon
  4. Select Add Users.

  5. (CrashPlan PROe and SharePlan only) Select an organization for the new user.
  6. Enter the user's first name, last name, email address, and password.
  7. Select Add User.

  8. Download and install the CrashPlan app or SharePlan app on the endpoint device and sign in with the new user account.

Adding users by uploading a text file

Adding users by uploading a text file allows you to easily create many new user records at once. When adding users by uploading a text file, determine the usernames and passwords for all users you want to add.

Steps

  1. Sign in to the administration console.
  2. Select Users from the menu on the left.
  3. Select Add a New User: Add User New Icon
  4. Select Add Users.

  5. (CrashPlan PROe and SharePlan only) Select an organization for the new user.
  6. Click Download sample file to download the template for adding users.
  7. Modify the sample file:
    1. Delete the sample entry for "John Doe".
    2. Add the information for your users in the following format (one line per user):firstName,lastName,username,email,password
    3. (CrashPlan PROe only) If you have selected Usernames are email addresses, then remove username from the format.
    4. (CrashPlan for Small Business and CrashPlan PROe public cloud only) Remove the username field entirely from the text file.
  8. Save the modified file.
  9. Drag and drop your saved users .txt file onto the Click or Drag and Drop File button, or click Browse to your user .txt file.
  10. Select Add User.

  11. Download and install the CrashPlan app on the endpoint device and sign in with the new user account.

Inviting users by email

CrashPlan for Small Business and CrashPlan PROe only

  • Adding users by email invitation is a quick way to deploy to any number of users. With this method, users receive email instructions for getting started on their own.
  • You can see users with pending invitations to use CrashPlan from Users > action menu > Invited Users. You can only send an invitation to an email address once. If the user requires a second invitation, review our troubleshooting article Unable to Invite Users By Email.

Before you begin

CrashPlan PROe Private Cloud and SharePlan only

Make sure that your Code42 environment is properly configured to send emails to users. Email settings are located under Settings > Server > Email.

Steps

  1. Sign in to the administration console.
  2. Select Users from the menu on the left.
  3. Select Add a New User: Add New User Icon
  4. Select Invite Users.

  5. (CrashPlan PROe only) Select an organization for the new user.
  6. Complete the form:
    • Enter a comma-separated list of email addresses
    • Enter a reply to address
    • (Optional) Customize the subject and message to be sent to your users
  7. Click Send.

Your users will receive an email with instructions for getting started. Please note that the example below is for CrashPlan for Small Business; however, the instructions sent for CrashPlan PROe are nearly identical.
